Job Description

The Tulsa Botanic Garden is seeking a friendly, organized and creative Visitor Center Coordinator to oversee the day-to-day operations of the Visitor Center. This role plays a vital part in delivering an exceptional guest experience while driving gift shop, admission and membership revenue.

As a non-profit organization we work together to promote the beauty of plants and nature while building and sustaining an exceptional botanical garden. We are passionate about educating guests, rooting ourselves in the community and using our creative minds and skills to further the growth of the Garden.

The ideal candidate thrives in a guest-facing environment, balances administrative responsibilities with hands-on engagement, and brings strong customer service and time-management skills to a dynamic setting.

About Us

Tulsa Botanic Garden is a place for connecting people with plants and each other. Generations of families visit to celebrate and make memories. Beautiful gardens, such as the A.R. and Marylouise Tandy Floral Terraces, not only offer opportunities for escape, contemplation and inspiration, but also serve as a living collection of plant life for research and conservation.

This living collection acts as an outdoor classroom for exploring plant adaptations, life cycles, and interrelationships in nature. Groups from pre-K to college utilize the Garden for hands-on investigation and experiential learning. Dynamic educational programming sparks curiosity in the natural world with visitors of all ages.

Duties & Responsibilities

This position manages ticketing software to oversee memberships and ticket sales while ensuring a high-quality guest experience. The role supports, schedules, and coordinates Visitor Center Associates to maintain effective coverage and communication. Responsibilities include collaborating with the Vice President/CAO to manage Gift Shop inventory and achieve annual sales goals, coordinating new hire training and system access for CRM and ticketing platforms, and assisting with the development and execution of membership renewals and campaigns. The position serves as the first point of contact for incoming calls and provides in-person and remote assistance to guests and volunteers. Additional duties include inventory control with biannual audits and reporting, as well as support for special events and programs, including seasonal evenings and weekends.

Education and Experience

Job Qualifications and Highlights:
The ideal candidate demonstrates familiarity with Microsoft and Windows environments and has experience using CRM systems and Square. Experience with ticketing and volunteer management software is preferred but not required. Strong written and verbal communication skills are essential, along with a consistently friendly and helpful demeanor. The role requires the ability to multitask, stay organized, and work independently. Availability for evenings and weekends is required. Candidates must hold a current ABLE license or be able to obtain one, and must have a valid driver’s license and reliable transportation.

Additional Information

Compensation and Benefits:
This position offers competitive compensation aligned with nonprofit organizations, balanced by a comprehensive benefits package and a mission-driven work environment. Benefits include company-paid health insurance, an employer-sponsored retirement plan with company matching, paid time off and paid holidays, a Garden membership, and additional employee discounts.

Working Conditions and Environmental Exposures:
This role is primarily a seated, indoor office position with intermittent standing and walking. While performing job duties, the employee may occasionally be exposed to outdoor weather conditions and uneven or unpaved terrain. The noise level in the work environment is generally moderate. The position may require lifting items weighing 50 pounds or more. The working conditions described reflect those typically encountered while performing the essential functions of the job, and reasonable accommodations may be made to enable individuals with disabilities to perform these functions.
